- Connect several wawa accounts to the same Outlook calendar, useful for shared spaces.
- Use Outlook-managed and wawa-managed rooms side by side.
What we need from you
| Input | What to give us |
|---|---|
| Admin consent | A Microsoft 365 administrator who can grant tenant-wide consent to wawa's app |
| Staff links | Which Microsoft user each wawa staff member is |
| Room links | Which Microsoft user or room resource mailbox each wawa room is. Create room mailboxes in Microsoft 365 first if you want room calendars. |
When you grant consent, wawa asks for permission to read and write calendar events for all users, manage calendar permissions and room resources, and read user profiles and directory information.
Setting it up
- Go to Settings → Integrations → Microsoft Outlook → Configure → Setup Integration.
- If you are a Microsoft administrator, click Grant Admin Consent and approve the permissions in Microsoft. Otherwise, send the consent link wawa shows to your administrator. The link is valid for 7 days.
- Once consent is granted, the integration becomes active.
- Manage Staff Links: link each wawa staff member to their Microsoft user.
- Manage Room Links: link each wawa room to its Microsoft user or resource mailbox.
How it syncs
- wawa creates a calendar called Events from wawa in each linked user's mailbox and writes appointments to it.
- Outlook events are synced every 5 minutes, users hourly, and a full reconciliation runs daily.
